DispatchMind is job-management software for field service companies, made and run by DispatchMind LLC, a Florida limited liability company (“DispatchMind”, “we”, “us”). Companies use it to schedule, dispatch, bill and track service jobs, and to give their office staff and technicians one place to work. This page explains what information DispatchMind handles and why.
Who can use it
DispatchMind is sold to businesses. A company can sign itself up for a free trial; everyone else signs in with a login their company gives them. The demo on the sign-in screen uses made-up sample data and needs no login. Use of DispatchMind is also covered by the Terms of Service.
Your company’s information
The company you work for decides what goes into DispatchMind and who can see it. Job records, such as customer names, phone numbers, service addresses, appointment times, notes, prices and photos of the work, belong to that company. DispatchMind stores and processes them on the company’s behalf, only to run the service. If you have a question about a job record or a customer’s information, ask the company, and we’ll help them answer it. Each company’s information is kept separate from every other company’s.
What we collect
- Your account: your name, email address and role, so you can sign in and see the right jobs. When a company signs up, also its name and type of business.
- Billing: the company’s plan and its billing history. Card details are entered on Stripe’s own page and kept by Stripe; DispatchMind never sees or stores card numbers.
- Job records: what your company and its staff enter or import, as described above.
- Alerts: if you turn on alerts in the iPhone app, Apple gives the app an address for your phone so DispatchMind can send you notifications. You can turn this off at any time in your iPhone settings.
- Support messages: what you send us through the support page, so we can answer.
- Our website: on dispatchmind.ai we keep a random visitor number in your browser and note which link or site sent you, which pages you open, how far you get, whether you start a free trial, and your rough city (from your connection; we don’t keep your IP address). If you type your company name, leave your email, or ask the website’s Ask box a question, we keep that too, so we can answer you and follow up about DispatchMind. We never sell it. To be left out, write to support@dispatchmind.ai.
- Basic server logs: such as the time of a request and whether it worked. They’re used to keep the service running and secure.
What we don’t do
- We don’t sell anyone’s information.
- We don’t show ads.
- We don’t track you across other apps or websites.
Who helps us run it
DispatchMind runs on Cloudflare (hosting), Supabase (database and sign-in), Stripe (payments for paid plans), Resend (sign-in and password emails) and Apple (maps, address lookups and iPhone notifications). Some features only work when a company turns them on, and then the information that feature needs goes to that provider: Anthropic (the built-in AI assistant), Google Workspace (reading the company’s email), and the company’s own phone provider, such as CloudTalk (texts and calls). These providers handle the information only to deliver their part of the service.
Connecting to Claude
A company can connect its DispatchMind account to Claude (Anthropic’s AI assistant) with the DispatchMind connector. Only office logins can connect, and Claude then reads the same company information that login can see, to answer the person’s questions. The connector is read-only. DispatchMind doesn’t store the conversations; it answers each question from the company’s data and keeps nothing extra. Anthropic handles what it receives under the person’s own Claude terms. Removing the connector in Claude, or removing the login in DispatchMind, stops it.
On your device
So the app can open without a signal, it keeps a copy of the jobs you last loaded on your device, under your login only. Signing out erases it.
Keeping and deleting information
Job records are kept as long as your company keeps its DispatchMind account, or until the company deletes them. A company’s owner can delete the whole company account, with everything in it and every login, from the account menu in the app (Delete company account). To close just your own login, ask your company’s owner, or write to us from the support page or email support@dispatchmind.ai and we’ll take care of it.
Companies and people outside the United States
DispatchMind is used by companies in many countries. Each company picks its country, language, money and date style; that changes how things look, not where the information is kept.
Where it’s kept: DispatchMind and the providers listed above may store and process information in the United States and in other countries where they run their services.
Who decides: for job records, the company using DispatchMind decides what is collected about its own customers and why; DispatchMind handles those records on the company’s behalf, only to run the service. For your own login and for our website, DispatchMind decides.
Your choices: if you are in the European Union, the United Kingdom or another place with privacy laws that give you rights over your information (such as seeing it, correcting it, getting a copy, asking for it to be removed, or objecting to how it’s used), you can use them. For a job record, ask the company that did the work; we’ll help it answer. For your login or anything from our website, write to support@dispatchmind.ai. You can also complain to the privacy regulator where you live.
Companies that need a written agreement about how DispatchMind handles their records can ask through the support page.
Children
DispatchMind is a business tool and isn’t meant for children.
